CHANGING SESSIONS
Changes to Enrolment
Any request to change a camper’s enrolment must be submitted in writing by mail or email, clearly stating the camper’s full name and the session(s) you wish to change.
If space is available in the requested session, a confirmation of the change will be sent to you, and an updated statement of account will be prepared. Any refunds resulting from overpayment will be issued once the change has been processed in our system.
Please note that any downgrade in sessions will incur a $75.00 administrative fee.
Changes made after May 15th require that any additional fees be paid in full before the change is completed.
CANCELATION POLICY
Cancellations
All cancellation requests must be submitted in writing to jon@sparrowlakecamp.com.
Before May 15th:
You will receive a refund of all fees paid, including your deposit, less a $75.00 administration fee.After May 15th but more than 21 days before the start of your session:
You will receive a refund of all fees paid less the deposit.Within 21 days of your session start date:
No refund will be provided.
We recognize that every situation is unique. In special circumstances, a partial refund may be considered at the discretion of the Executive Director. Please note there is no guarantee of a refund after the 21-day cutoff, and further documentation may be required.
If a camper is sent home for exhibiting violent behaviour toward campers or staff, knowingly violating safety rules, or for any other behaviour deemed, at the full discretion of the Executive Director, to be incompatible with maintaining a safe and positive camp environment, no refund will be issued.
It is vital that all medical information provided on the Camper Health Form is accurate and up to date. Families must notify us of any changes to their child’s health status prior to arrival.
If a camper arrives with an undeclared medical issue that poses a risk to themselves or others, Sparrow Lake Camp reserves the right to send the camper home at the family’s expense, and no refund may be offered.
Camp Closure & Capacity Changes
In the unlikely event that Sparrow Lake Camp must close or reduce capacity for all or part of the season due to circumstances beyond our control (including acts of God, government restrictions, or other unforeseen events), we will contact families directly with the following options:
Defer your registration to 2027
Receive a full refund, or
Donate all or part of your deposit to help us bring Sparrow Lake back stronger in 2027.
In the event of a mid-summer closure, refunds will be pro-rated based on the date of the closure.
Important: If you withdraw your registration prior to an official closure announcement, the standard cancellation policy (outlined above) will still apply.
Campership Fund – Financial Assistance
Sparrow Lake Camp believes that every child deserves a summer camp experience.
We offer Campership funding for families who may require financial assistance.
If you wish to apply, please begin your registration and select the “Apply for Campership” option in the Payment section.
Campers with Special Needs
We are committed to creating an inclusive environment for all campers.
